The short answer
Open a report and click Send to email its PDF to up to 20 people, with your own subject and message. Admins can add a public link that opens without sign-in, and Download gives the PDF to print. Weekly, monthly and quarterly reports are built automatically, and a ready notice goes to the addresses set in Settings, Operator.
Send a report by email
Open the report
Set the period and comparison you want the reader to see. The PDF follows them.
Click Send
In To, pick someone from your team, or type an address and press Enter. One send reaches 20 people at most.
Write it
The subject is filled in as report, account and period, and the message as a short note. Change both as you like.
Preview and send
Check the Preview, then click Send to the number of people shown.
The PDF is always attached. If it cannot be made, nothing is sent and the window says so. Replies go to you, and the email carries the workspace's brand. People who switched report emails off are skipped, and the window tells you how many.
The email's button opens the public link when you added one. Without a link, it opens the report in the app if every recipient is a teammate. Otherwise there is no button, and people outside the workspace get the PDF only.
An example
Studio Kestrel and its client Fernhollow Dental are made up. On the 3rd, Léa at Studio Kestrel opens 'Fernhollow, monthly' on Last month and sends it to dr.wells@fernhollow.example and to her colleague Tom. Since the clinic is outside the workspace and Léa added no link, the clinic gets the PDF only.
Share a public link
Only an admin of the workspace can make a public link. Click Share, then Make a link, and Copy the link. In the Send window, an admin can also switch on Add a public link, which is off by default.
The link opens the report without sign-in. Its layout and days are fixed when the link is made, but its figures are read again each time it opens. A link has no expiry date: it works until an admin clicks Pull the link, or until the report is deleted. Public pages are hidden from search engines and show teammates by their initials. An agency with a verified domain shares links on that domain.
Download and print
Click Download on the report, or on its row in the Reports list, to get the PDF. That PDF is what you print. It opens with a cover: the account, the title and the period, what it is compared with, the day the Google Ads figures were read, and the template's one-line description. The cards follow on A4 sheets at the same proportions as the page, long tables carry on to the next sheet, and the print is always in the light theme.
Agencies set their logo, name and colour on the Branding page, and every report PDF and email carries them. A solo workspace's reports carry the Optizads mark with the workspace's name. See agency workspaces for branding.
The weekly, monthly and quarterly reports
Optizads builds three reports for each account by itself. They appear under Written by Oppy, and each opens as its template over its own fixed days, with figures read fresh.
Weekly
- Built
- Every Monday morning
- Covers
- Saturday to Friday, ending three days before, so late conversions are in
Monthly
- Built
- On the 2nd of each month
- Covers
- The month just closed
Quarterly
- Built
- With the monthly, after March, June, September and December
- Covers
- The quarter just closed
No AI writes these reports. They hold cards, the template's description, change titles and nothing else. A report that fails its own checks is held back.
Choose who hears about them in Settings, Operator, under Who gets the reports, one list per cadence. Each address gets a short notice titled 'The report is ready. The next move is yours.', with a Read the report button that opens the account's Reports list. The notice carries no PDF and no figures. An empty list sends nothing, and everyone in the workspace can still read the reports in the app.
Custom reports and the other templates are never sent on a schedule. Open them and click Send when you want them out.
Troubleshooting
Messages when sending or sharing You see What to do Send to 20 people at most at once. Split the list over two sends The PDF could not be made, so nothing was sent. Try again in a moment Only an admin of the workspace can make a public link. Ask an admin, or send the PDF 2 had switched report emails off. Those people turned report emails off for themselves. Send them the link another way 1 person outside the workspace gets the PDF only. Add a public link if they should open the live report Sending and public links stop when a trial ends without a plan. If the weekly notice never arrives, check the list under Who gets the reports in Settings, Operator.
